Job Posting – Administrative Officer, Cosmopolitan Music Society
The Cosmopolitan Music Society is a large, non-profit community music organization in Edmonton, Alberta. It provides community music programs to adults of all ages and skill levels through participation in concert band, jazz band, handbells, and mixed chorus. CMS serves over 300 members and many thousands of community members through musical performances and events.
CMS is looking for a person who is highly organized, skilled in customer relations, a strong communicator in both written and verbal formats, a team player, has strong leadership and problem-solving skills, values community and arts, to fulfil the position of Administrative Officer. Experience in data management and customer relations an asset. Must have own vehicle and license.
The position tasks include:
· Reception
o email, phones, in-person, workshops
· Recruitment
o communicate CMS programs information with prospective members,
o maintain logs of member inquiries,
o set up and manage audition times for new members,
o assist with auditions as required by Director,
o participate in recruiting events such as open houses and concerts
· Registration and data management
o develop and administer registration materials,
o update and maintain registration database,
o manage member information,
o develop and maintain ensemble attendance lists and contact lists,
o develop and maintain public contact information,
o develop and maintain donor and sponsor information
· Weekly communications
o members and public as directed by Executive staff
· Volunteer Support
o recruit, organize, schedule, train, and supervise all volunteers
o in-house concert front of house manager
o build and execute/supervise concert day checklists
o train and supervise ensemble managers and key-holders
o inventory concession and ensure stock is ordered/purchased and filled on a weekly basis
Attend CMS events that require staff oversight (e.g., Purdy’s sorting, conference booths, workshops, promotional events, concerts)
o Includes evening and weekend events
Pay commensurate with experience, $19-$23/hr.
25 hours per week. In-person. Position requires evening and weekend availability for event support. Start date: February 10, or sooner as possible.

The position of bookkeeper includes the following tasks:
Enter and pay bills (manage accounts payable)
Payroll, T4s, ROEs
Issue membership payment receipts and donation receipts
Maintain accurate and up-to-date records in Quickbooks Online
Monthly bank and credit card reconciliations
Receive and document member fees
Ensure all monies owed are collected; manage accounts receivable
Ensure CMR compliance
CRA Remittances - GST, Payroll
Work in conjunction with treasurer
The ideal candidate:
· Has bookkeeping experience (will accept no experience for students, but must have finished 1st and 2nd year accounting courses)
· Has Quickbooks Online Experience
· Has experience working with charities, and is familiar with compliance regulations
· Has experience with GST and payroll (required, unless they're a student).
Pay commensurate with experience. Students- $18-$20/hr. Experienced - $35-$38/hr
